Gastroplan (Optimering), CVR no. 45312909, address Bellmansgade 11, 2100 Copenhagen Ø, Denmark, is the data controller for the processing of personal data that we receive about customers, prospective customers, business partners, suppliers and other contacts in connection with our business.

As a general rule, we only process ordinary personal data. This may include name, company, job title, telephone number, email address, address, billing information, communication history, and information submitted through contact forms, email, telephone or other direct contact.

If you accept analytics, we also process technical and pseudonymous website-visit information, including pages visited, traffic source, device type, browser, language and Analytics cookie ID. We do not send contact-form content or contact details to Google Analytics.

We may also process information necessary to prepare quotations, enter into agreements, deliver our services, follow up on dialogue and document collaboration processes.

As a general rule, we do not process sensitive personal data unless it is necessary, lawful and relevant to a specific matter. We encourage users not to send unnecessary sensitive information through contact forms or ordinary email.

We process personal data in order to:

• respond to enquiries and follow up on dialogue,

• prepare quotations and take steps prior to entering into an agreement,

• enter into, administer and perform agreements,

• deliver consultancy, guidance and other advisory services,

• communicate with customers, prospective customers, business partners and suppliers,

• invoice, keep records and handle payments,

• document agreements, deliveries and project processes,

• quality-assure our work and handle any disputes,

• analyse and improve the website where consent to analytics has been given,

• comply with applicable legislation and legal obligations.

We process personal data on one or more of the following legal bases:

• Article 6(1)(b) of the General Data Protection Regulation, where processing is necessary in order to take steps prior to entering into an agreement or to perform an agreement,

• Article 6(1)(c), where processing is necessary for compliance with a legal obligation, for example under bookkeeping legislation,

• Article 6(1)(f), where processing is necessary for the purposes of legitimate interests, such as customer dialogue, administration, documentation, operations, security and business development,

• and in certain cases Article 6(1)(a), where a valid consent has been obtained and such consent is relevant and required.

Processing for Google Analytics is based on your consent. You may withdraw that consent at any time through Cookie settings in the footer.

We typically receive information directly from the data subject, from company representatives, through contact forms, emails, telephone calls, meetings, collaboration processes or other ordinary business-related contact.

In certain cases, we may also receive information from others within the company you represent or from a business partner if relevant to a specific project, quotation or collaboration.

When you complete a contact form on the website or contact us by email or telephone, we process the information you provide in order to respond to your enquiry, follow up on the dialogue and, where relevant, enter into or administer a collaboration.

The legal basis for such processing will generally be our legitimate interest in responding to relevant enquiries and administering dialogue, or taking steps prior to entering into an agreement if your enquiry concerns a potential collaboration.

We may disclose personal data to trusted processors and business partners where necessary for the operation of the business. This may include hosting providers, email providers, form and CRM systems, bookkeeping, auditor, IT suppliers and other administrative systems and operational suppliers.

Personal data is shared only where necessary and on a lawful basis. We enter into the necessary data processing agreements where required.

If a supplier or processor is located outside the EU/EEA, or if personal data is otherwise transferred to countries outside the EU/EEA, this will only take place where there is a valid transfer basis under data protection law.

We retain personal data for as long as necessary for the purposes for which the data was collected, and for as long as necessary to document agreements, manage collaborations, follow up on customer relationships or comply with legal requirements.

Contact enquiries and ordinary initial dialogue are, as a general rule, deleted or anonymised when it is clear that the enquiry will not lead to further dialogue or collaboration, and no later than within 12 months, unless there is an objective need for longer retention.

Information related to customer relationships, deliveries, quotations, agreements and project processes is generally retained for as long as the collaboration continues and for a subsequent period where necessary for documentation, complaints, disputes or legitimate business interests.

Bookkeeping records and related information are retained for the period required under the bookkeeping legislation applicable from time to time.

When the information is no longer necessary, it is deleted or anonymised within a reasonable period.

We treat personal data confidentially and seek to protect information against unauthorised access, loss, misuse, alteration or disclosure.

We apply relevant technical and organisational security measures in light of the size of the business, our operations and the nature of the information we process.

Under data protection law, you have a number of rights as a data subject. These may include the right to:

• access the information we process about you,

• have inaccurate information rectified,

• have information erased in certain cases,

• have processing restricted,

• object to processing,

• receive data portability where relevant,

• and withdraw a consent where processing is based on consent.

These rights are not absolute and depend on the specific circumstances and the relevant legal basis for processing.
